2. What personal data we collect

We collect data in three ways:

Data you give us directly. When you create an account, contact us, or subscribe to our service, we collect your name, email address, professional role, company or organisation, billing details, and any other information you choose to share.

Data we collect automatically. When you visit our website or use our platform, we automatically collect technical information including your IP address, browser type, device type, operating system, referring website, pages viewed, and timestamps. This is standard log data needed to run a website securely.

Data contained in content you upload. When you upload videos for analysis, those videos may contain personal data — typically images of riders, handlers, grooms, or other people visible in the footage. We treat any such data with care, as described below.

We do not knowingly collect data from anyone under 18.

3. Why we process your data and on what legal basis

‍ ‍

Under the GDPR, we need a legal basis for every kind of data processing we do. Here's what we do and why:

To provide the service. We process account data, billing data, and uploaded video content to deliver the analyses you request. Legal basis: performance of a contract with you.

‍ ‍

To keep our service secure. We log technical data to detect fraud, prevent abuse, and protect our infrastructure. Legal basis: our legitimate interest in running a secure platform.

To improve our AI models. We may use anonymised and aggregated data — including patterns derived from uploaded videos — to train and refine our analysis models. Legal basis: our legitimate interest in improving the service. You can opt out at any time by writing to contact@equinnovate.tech.

To communicate with you. We send service-related emails (account confirmations, invoices, updates to terms). Legal basis: performance of a contract. We may also send occasional newsletters or product news — but only with your consent, which you can withdraw at any time.

To comply with our legal obligations. We retain certain data — like invoices — for the periods required by French law. Legal basis: legal obligation.

4. People who appear in uploaded videos

‍ ‍

When you upload a video of a horse, that video may incidentally capture other people — riders, handlers, vets, owners. Under the GDPR, those people are also data subjects, and our handling of their image counts as processing personal data.

‍ ‍

You confirm, when uploading content, that you have the right to do so. This includes any necessary permissions from people who appear in the footage. If you upload video that includes identifiable individuals, you are responsible for ensuring they have been informed and have consented where required.

If someone identifies themselves in footage we've processed and asks us to delete it, we will do so promptly.

5. How long we keep your data

We keep data only for as long as we need it:

  • Account data: for as long as your account is active, plus three years after closure for evidentiary purposes.

  • Uploaded videos and analysis results: 1 year. After that, videos are deleted; anonymised analysis metadata may be retained for model improvement.

  • Billing and invoice data: ten years, as required by French commercial law.

  • Marketing data: until you withdraw consent, or three years after your last interaction, whichever is sooner.

  • Website logs: 12 months.

6. Who we share your data with

‍ ‍

We do not sell your personal data. We share it only with:

Service providers we use to run Equinnovate. This includes our hosting providers Squarespace and Google Cloud Platform, our payment processor Stripe, and our email provider Google. These providers act as data processors and are bound by contract to protect your data and use it only on our instructions.

Authorities, when legally required. We will disclose data if compelled by a valid legal order from a competent authority.

‍ ‍

Partners you specifically authorise. If you integrate Equinnovate with another platform via our API, we share data with that platform under your instructions.

7. International transfers

Some of our service providers are based outside the European Economic Area, including in the United States. When this happens, we ensure transfers are covered by appropriate safeguards under the GDPR, typically Standard Contractual Clauses approved by the European Commission. We use industry-standard security measures including encryption in transit (HTTPS), encryption at rest for stored videos, access controls, and regular security reviews. No system is perfectly secure, but we work continuously to reduce risks. If a data breach occurs that affects your rights, we will notify you and the CNIL in accordance with our GDPR obligations.
